What personal data we collect, why we collect it, and how you stay in control of it.

Teknovara Software Solutions ("Teknovara", "we", "us") is a software company based in Kenya 路 Serving clients worldwide. This policy explains how we handle personal data when you visit this website, contact us or work with us. We process personal data in line with the Kenya Data Protection Act, 2019.
1. The data we collect
- When you fill in our contact form: your name, email address, company name (optional), the service you are interested in, your message, and the IP address and time the form was sent.
- When you call, email or message us on WhatsApp: the contact details and information you choose to share with us.
- When you apply for a role: the details and documents you send us.
- When you browse the site: technical information such as your IP address, browser type and the pages you visit, kept in server logs for security. See our Cookies Policy for the cookies we use.
We do not ask for, and ask you not to send, sensitive personal data (such as health or financial account details) through this website.
2. Why we use it
- To reply to your enquiry, prepare a quote and arrange a call or demo.
- To deliver, support and invoice the services we agree with you.
- To consider your job application.
- To keep this website secure and working properly.
- To understand how the site is used, but only if you have allowed analytics cookies.
- To meet our legal obligations, for example tax and accounting records.
We rely on your consent, on steps you ask us to take before entering into a contract, on the contract itself, on our legitimate interest in running and protecting our business, or on a legal obligation, depending on the purpose. We never sell your personal data, and we do not use it for unrelated marketing.
3. Who we share it with
We only share personal data where it is needed, with:
- Service providers who help us run the business, such as our website host and email provider, under agreements that require them to protect it.
- WhatsApp (Meta), only if you choose to contact us through WhatsApp; their own privacy policy applies.
- Embedded services: our pages load fonts from Google Fonts, and the contact page shows a map from OpenStreetMap. These providers receive your IP address when your browser loads their content.
- Authorities, where the law requires us to.
Some providers may store data outside Kenya. Where that happens, we make sure appropriate safeguards are in place as the Data Protection Act requires.
4. How long we keep it
We keep enquiries for as long as we need them to respond and follow up with you. Client records are kept for the length of our working relationship and for as long afterwards as the law requires. When data is no longer needed, we delete or anonymise it.
5. How we protect it
Access to enquiries is limited to authorised staff using password-protected accounts, the site is served over an encrypted connection, and we keep our systems updated. No method is perfectly secure, but we take reasonable steps to protect your data and will act promptly if something goes wrong.
6. Your rights
Under the Data Protection Act you have the right to:
- be told how your personal data is used;
- access the personal data we hold about you;
- object to the processing of all or part of your data;
- have inaccurate data corrected, and false or misleading data deleted;
- withdraw your consent at any time, for example by changing your .

7. Children
Our services are for businesses and are not directed at children. We do not knowingly collect personal data from children.
8. Changes to this policy
We may update this policy from time to time. The date at the top of the page shows when it last changed.
